Booking & Confirmation
Bookings may be made via WhatsApp, email, or our online contact form. Once we receive and review your enquiry, we will send a personalised itinerary proposal and quotation.
- A booking is considered confirmed only after a deposit has been received and a written confirmation has been issued by We Go Round Travel.
- At the time of booking, you must provide the full legal names (as shown on passports) of all travellers, passport numbers and expiry dates, nationality, dietary requirements or food allergies, and any relevant medical or mobility considerations.
- Failure to provide accurate information may affect the quality of services or the ability to deliver certain activities. We Go Round Travel accepts no liability for issues arising from incomplete or incorrect information supplied by the client.
- Booking requests are subject to availability. Receipt of a deposit does not guarantee availability until written confirmation is issued.
Pricing & Payment
All prices are quoted in US Dollars (USD). Payment is processed in Thai Baht (THB) at the exchange rate applicable on the date of payment, using a reputable rate source (e.g. XE.com mid-market rate).
Accepted payment methods:
- International bank transfer (SWIFT/wire) — bank details provided upon confirmation
- Credit or debit card via a secure payment link (Visa, Mastercard, American Express)
- Cryptocurrency (Bitcoin, USDT) — converted to THB equivalent at time of payment
Payment schedule:
- A deposit of 30% of the total trip cost is required to secure your booking.
- The remaining balance is due 30 days before your departure date.
- For bookings made within 30 days of departure, full payment is required at the time of booking.
Cancellation by Customer
All cancellation requests must be submitted in writing to [email protected]. The cancellation date is the date on which we receive written notice. The following charges apply:

Cancellation by We Go Round Travel
We Go Round Travel reserves the right to cancel or modify a booking under the following circumstances:
- Minimum group size: Where a tour is offered as a group departure, we reserve the right to cancel if a stated minimum number of participants is not reached. You will be notified no later than 30 days before departure and offered a full refund or an alternative private tour option.
- Force majeure: In the event of cancellation caused by circumstances beyond our reasonable control — including but not limited to natural disasters, severe weather, civil unrest, government travel advisories, or pandemic-related restrictions — we will offer a full credit valid for 24 months or a full refund of all payments made to us. We are not liable for consequential costs such as independently booked flights.
- We will always make every reasonable effort to reschedule or adapt rather than cancel outright, and will communicate with you promptly and transparently.
Changes & Amendments
We understand that plans sometimes need to change. Amendments should be requested in writing.
- Date changes: Requests to change your departure date made 30 or more days before departure are accommodated at no additional administrative charge (subject to availability). Date changes requested fewer than 30 days before departure incur an administrative fee of ฿1,500 per booking.
- Itinerary amendments during travel: Minor itinerary adjustments on-trip may be made at our guide's discretion in the interests of safety, weather conditions, or road closures. We will always seek your agreement where possible.
- Price lock: The trip price quoted in your booking confirmation is locked at the time your deposit is received. Subsequent changes in fuel costs, accommodation rates, or exchange rates do not affect your quoted price.
- Significant changes to the itinerary (e.g. removal of a key destination) initiated by us will be communicated in writing. You may accept the revised itinerary at the same price, accept a revised price, or cancel with a full refund.
Travel Insurance
We Go Round Travel strongly recommends that all guests purchase comprehensive travel insurance prior to travel. Travel insurance is not included in our quoted price and is solely the client's responsibility to arrange.
Your policy should provide cover for, at minimum:
- Medical expenses and hospitalisation while abroad
- Emergency medical evacuation and repatriation
- Trip cancellation and curtailment
- Personal liability
- Loss of personal belongings and travel documents
For itineraries that include remote trekking, kayaking, or other adventure activities, we may request proof of insurance — including confirmation that such activities are covered — before the trip departs.
Health & Physical Requirements
Thailand's diverse terrain means that some activities — such as jungle trekking, hill-tribe village walks, kayaking, and cycling — require a reasonable level of mobility and physical fitness.
- Activity difficulty ratings are indicated in each itinerary description. Please review these before booking.
- Guests must disclose any pre-existing medical conditions, physical limitations, mobility impairments, allergies (including food allergies), or pregnancy at the time of booking.
- We Go Round Travel will make reasonable efforts to adapt activities where possible. However, we reserve the right to exclude a guest from a specific activity for safety reasons, without refund of that activity component if the condition was not disclosed at booking.
- We are not liable for any injury, illness, or loss arising from undisclosed medical conditions or physical limitations.
Transportation & Accommodation
Transportation:
- We use vetted private vehicles operated by licensed, professional drivers with appropriate insurance coverage.
- Vehicle type is assigned based on group size and road conditions. Specific vehicle brands or models are not guaranteed.
- For long-distance transfers, we may use reputable intercity coaches, domestic flights, or trains as described in your itinerary.
Accommodation:
- Hotels and guesthouses are as described in your itinerary. In the rare event that a listed property is fully unavailable, we will substitute a property of equivalent or higher grade at no additional cost to you.
- Your room type (e.g. twin, double, suite) is guaranteed. Specific room numbers, floors, views, or building wings are not guaranteed and are subject to the individual property's availability.
- Check-in and check-out times follow each property's standard policy. We will communicate these in your pre-departure documentation.
Guest Conduct
We Go Round Travel operates in communities and sacred sites where respectful behaviour is essential. We expect all guests to conduct themselves lawfully and courteously throughout their trip.
- Guests must comply with local laws and customs at all times, including appropriate dress codes at temples and cultural sites.
- Behaviour that endangers the safety or wellbeing of other guests, guide staff, or local community members will not be tolerated.
- We Go Round Travel reserves the right to remove any guest from the trip who behaves illegally, threateningly, disrespectfully toward local communities, or in a way that materially disrupts the experience of others.
- In such circumstances, no refund will be issued for unused services, and the guest bears all costs associated with their departure from the group.
Limitation of Liability
We Go Round Travel acts as an organiser and, in some cases, as an agent on behalf of third-party transport, accommodation, and activity providers. While we carefully vet all partners, we cannot accept liability for acts, omissions, or defaults of third-party service providers beyond our reasonable control.
- Our maximum aggregate liability for any claim related to a booking shall not exceed the total value of the services that were not delivered as described.
- We are not liable for death, personal injury, illness, loss, theft, damage to personal property, or additional costs arising from events beyond our reasonable control — including but not limited to natural disasters, strikes, acts of government, terrorism, or epidemic.
- Nothing in these terms limits our liability for death or personal injury caused by our own proven negligence.
- By booking with us, you acknowledge that adventure activities carry inherent risks and that participation is voluntary.
Personal Data & Privacy
We Go Round Travel collects personal data — including names, passport details, contact information, and health declarations — solely for the purpose of delivering the booked travel services.
- Your data is shared only with the direct service providers required to fulfil your booking (hotels, transport operators, activity providers, and relevant authorities where legally required).
- We never sell, rent, or disclose your personal information to unrelated third parties for marketing purposes.
- Data is retained for the minimum period necessary for legal, accounting, and service-quality purposes.
- For full details of how we handle your data, please refer to our Privacy Policy. You may request access to, correction of, or deletion of your personal data by contacting us in writing.
Governing Law & Disputes
These Terms and Conditions are governed by and construed in accordance with the laws of the Kingdom of Thailand.
- In the event of any dispute arising out of or in connection with a booking, both parties agree to first attempt resolution through good-faith negotiation and direct communication.
- If a dispute cannot be resolved amicably within 30 days of written notice, the matter shall be referred to the competent courts of Bangkok, Thailand, whose jurisdiction both parties accept as exclusive.
- Nothing in this clause prevents either party from seeking urgent injunctive or interim relief from a court of competent jurisdiction.
